Examples

What process mining often makes visible.

Six scenarios we regularly come across in financial processes. For each you see how we find it and what you can do about it.

These are example scenarios, not results from specific clients. As soon as we can share client cases with permission, they will appear here.

Duplicate payment

The same invoice, paid twice

A supplier sends a reminder or a copy and both are processed.

How we find it
Comparing supplier, amount and date across all invoices, even when invoice numbers differ slightly.
What you do about it
Reclaim the money and add a control that catches this in future.
Late payment

Invoices paid after the due date

The process is slow in one step, often approval.

How we find it
Lead time per step and per department or approver.
What you do about it
Tackle the bottleneck, for example with substitute rules for approvers.
Skipped step

Ordering after the invoice

The purchase order is only created after the invoice has already arrived.

How we find it
Order of events per case compared with the designed process.
What you do about it
Tighten purchasing policy and discuss after-the-fact orders per department.
Segregation of duties

The same person creates and approves

A basic control that is sometimes bypassed in practice.

How we find it
Link user to step and search for the combinations that should not occur.
What you do about it
Adjust rights in the system and investigate the exceptions.
Rework

Invoices that keep coming back

An invoice is rejected, amended and submitted again.

How we find it
Loops in the process and the cause per supplier or category.
What you do about it
Fix the cause at the source, for example with better order information.
Journal entries

Corrections after the month-end close

Entries that still change after closing, with consequences for reporting.

How we find it
Time and author of entries compared with the closing date.
What you do about it
Manage the closing calendar more tightly and remove structural causes.
